What Will You Be Doing?


The Senior Business Manager is a critical central function role supporting the smooth running of our multi-site business. This role sits at the centre of operations, governance, HR administration, and systems management, ensuring that our venues remain compliant, well-organised, and operationally efficient.


The successful candidate will play a key role in maintaining documentation, supporting projects, improving internal systems and processes as well as supporting finance, operations, HR, and the leadership team. This role ensures:

  • Robust financial and administrative controls, ensuring a smooth day-to-day coordination between the three sites and head office
  • Accurate reporting across sites
  • Effective governance and compliance


The Key Responsibilities:

Multi-Site Support

  • Maintain centralised documentation across all venues
  • Coordinate site compliance files (insurance, H&S, licences, utilities, etc.)
  • Support contract renewals (utilities, waste, telecoms, service agreements, etc.)
  • Support site projects and capex
  • Work with the marketing team to schedule the event calendar three months in advance


Governance & Compliance

  • Ensure Companies House filings and statutory records are maintained
  • Maintain policy documentation (HR, data protection, procurement, etc.)
  • Monitor training depth throughout the business
  • Support board pack preparation (data collation, formatting, schedules, etc.)
  • Uphold all safety policies, resulting in a >90% SAEKER score, making 5* EHO a formality


HR & Payroll Administration

  • Compliance with employment guidelines
  • Support onboarding documentation
  • Work with finance on payroll
  • Maintain employee records and contracts
  • Track holiday, sickness, and HR compliance documentation


Systems & Process Improvement

  • Maintain cloud-based filing structures
  • Support integration and maintenance of systems (EPOS, accounting software, booking systems, etc.)
  • Identify inefficiencies and recommend improvements


The Ideal Candidate Will:

  • 3+ years experience in business administration or finance support at a senior level
  • Proficient with Microsoft Office and maintaining multi-system infrastructure
  • Experience in multi-site hospitality, leisure, or retail environments
  • Confident working with senior leadership
  • Highly organised and structured
  • High attention to detail
  • Proactive and solutions-focused
  • Commercially aware and process-driven
  • Comfortable operating across multiple operational and strategic tasks
  • Live within the existing three Caffeine & Machine sites. The role is hybrid so being able to get to sites easily is advantageous
